Once XPM is connected, there are three ways to pull data into Nagaris: the automatic import, targeted fetches for jobs and timesheets, and a full XPM export upload for large or historical data sets. All of them live on the Xero Practice Manager tab under Settings → Integrations.
When you first connect, leaving Import my existing XPM data ticked syncs your Contacts, Clients, Client Groups, Jobs, and Timesheets automatically. The initial sync may take a few minutes depending on your data size.
You can re-run this at any time: open the three-dot Extra Actions menu on the Xero Practice Manager Integration card and choose Import from XPM. Nagaris confirms with Import from XPM initiated successfully. — the import runs in the background, so give it a few minutes before checking your client list.
The same three-dot menu has two targeted options:
Get Jobs from XPM — Fetch jobs from Xero Practice Manager. Choose to fetch all historical jobs or specify a date range.
Get Timesheets from XPM — the same, for timesheets.
In each dialog, either tick Fetch all historical jobs (or Fetch all historical timesheets), or pick a Date Range using the calendar, then click Get Jobs or Get Timesheets. You'll see Jobs sync from XPM initiated successfully. (or the timesheets equivalent) and the data arrives in the background. Ticking the fetch-all box disables the date range, and you must choose one option or the other before the button becomes available.
For a complete import — including data the API sync doesn't reach — use the XPM Export Upload card, which appears once XPM is connected.
First, create the export in XPM (the card shows these steps too):
Log into your Xero Practice Manager account.
Navigate to Business → Subscription → Export tab.
Click Export to initiate an export preparation.
Once the export is ready, you will receive an email with a link to download the zip file.
Upload the zip file using the form on the card.
Then in Nagaris, drag the file onto the Upload XPM Export dropzone (or click Browse Files) and click Upload XPM Export. Only ZIP files are accepted, with a maximum size of 100 MB. On success you'll see XPM export uploaded successfully! and The backend is processing your data. — the file is processed in the background.
File is too large. Please ensure the zip file is under 100MB. — your export exceeds the upload limit. Contact support and we can help import very large exports.
Invalid file format. Please upload a valid XPM export zip file. — make sure you're uploading the ZIP exactly as downloaded from XPM, not an unzipped or re-saved copy.
Imported records show their origin: client groups created by an import display a Creation Source of XPM Import on the Client Group Details card.
If names come in ALL CAPITALS or in the wrong order, adjust your Sync Preferences before re-importing — see the name formatting article in this section.
