Requesting documents from clients

How staff request a document from a client in Nagaris, what the client sees, and how to track outstanding requests.

Rather than chasing documents by email, you can raise a document request directly on a client in Nagaris. The request sits on the client's page with your note attached, and it stays visible until a file is uploaded against it — by the client or by your team.

Raising a request

Only staff can request documents — the toggle isn't shown to users with client-level access.

  1. Open the client's page and click the plus button (Upload Document) on the Documents card — or the plus button (Request Document) on the Document Requests card if one is already showing.

  2. In the dialog, switch on Request document from client.

  3. Enter the Document name (required for a request) — name it what you want the client to provide, for example 2025 Rental Property Statement.

  4. Add a Request note — Add a note for the client about this document request... — explaining exactly what you need.

  5. Click Request Document. You'll see Document requested successfully!

The same Request document from client toggle is available on the entity-specific document cards (for example Company Documents on a company, and the equivalent cards for trusts, SMSFs and partnerships), so you can request core documents like deeds and constitutions the same way.

Where requests appear

  • The client's page gains a Document Requests card listing every requested document that doesn't have a file yet. Once a file is uploaded, the entry drops off this card and the document behaves like any other upload.

  • On the Documents card, a requested document shows a Document Requested alert with your request note and an Upload button.

  • In the document's details panel, the Status row reads Requested from client until a file arrives.

Fulfilling a request

Either side can satisfy the request:

  • The client opens their client page in Nagaris, sees the Document Requested alert, clicks Upload and attaches the file.

  • Your team can click the same Upload button and attach the file on the client's behalf (for example if the client emailed it to you).

After the upload, the request alert disappears and the file is stored on the document with its name, size and description.

Good to know

  • A request needs a Document name — if you leave it blank you'll see Document name is required for a request.

  • Requested documents count as outstanding actions on the client, so the Documents card can show an action-required indicator until the file arrives.

  • File size limits are the same as normal uploads on the card you're using — see Uploading documents and file size limits.

  • Requests aren't automatic reminders: Nagaris tracks the outstanding request, but you'll still want to point the client to it (the client sees it as soon as they open their client page).
