Recording meetings and assigning action items

How to record client meeting notes, transcripts and action items in Nagaris, and how those items feed each person's My Actions dashboard.

Nagaris lets you record client meetings — notes, attendees, a transcript and follow-up action items — against a client group or an individual client. Action items you assign to team members appear on their Dashboard under My Actions, so nothing agreed in a meeting gets lost.

Where meetings live

  • On a client group's page you'll find a Meetings card listing every meeting recorded for the group, newest first. Meetings linked to specific clients show those clients as badges on each row.

  • On an individual client's page the Meetings card shows just that client's meetings.

  • You can also start a meeting from the Dashboard with Add Meeting, which asks you to pick the client or client group first.

The Meetings card is only visible to your team — it carries the note Clients won't see these notes, and users with client-level access never see the card.

Recording a new meeting

  1. On the Meetings card, click the plus button (Record Meeting Notes and Actions), or click New Meeting if the card is empty.

  2. A side panel titled Record Notes and Actions opens with three tabs: Details, Actions and Transcript.

  3. On Details, fill in:

  4. Title (required) — for example FY26 Tax Planning Discussion.

  5. Date — defaults to today.

  6. Duration (min) — optional, in minutes.

  7. Related Client — when you started from a group, you can link the meeting to one or more clients in that group. When you started from a client's page, that client is linked automatically.

  8. Staff — team members who attended.

  9. Client Contacts — contacts from the group who attended.

  10. Notes — a brief summary of what was discussed.

  11. Switch to Actions to add follow-ups (see below).

  12. Switch to Transcript to paste or type a transcript of the meeting if you have one.

  13. Click Save. Save is disabled until the meeting has a title.

Adding action items

On the Actions tab:

  1. Click Add Action Item.

  2. Describe the task in What needs to be done?

  3. Use Assign to... to pick the responsible team member. Unassigned items are allowed, but they won't appear on anyone's My Actions dashboard.

  4. Set the due date — it defaults to today, and you can change or clear it. Items without a due date land in the No Due Date section of the assignee's dashboard.

You can add as many action items as you need, and remove one with its bin button. Action items without a description are discarded on save. The Actions tab shows a badge with the count of items.

Viewing and editing a meeting

Click a meeting's title on the Meetings card (or a row in My Actions) to open it. The panel shows the meeting title with its date, duration and attendee count, plus the Details, Actions and Transcript tabs. In view mode:

  • Details shows related clients, staff and client-contact attendees, and the notes.

  • Actions lists each item with its assignee (or Unassigned), a Due date where set, and a checkbox — tick it to mark the item complete (Action marked complete). Completed items show with a strikethrough.

  • Transcript shows the saved transcript, or No transcript yet.

Click Edit to change anything, including adding, editing, reassigning or deleting action items, then Save.

Good to know

  • Completing an action item inside the meeting also clears it from the assignee's My Actions list.

  • Reassigning an action item moves it from one person's dashboard to another's.

  • Deleting an action item in edit mode removes it permanently, including from dashboards.

  • The Add Meeting picker on the dashboard won't offer archived client groups.
