Browsing and searching the Documents library

How to browse folders, search with filters, switch views and ask questions of your firm's document library in Nagaris.

The Documents page is your firm's document library, backed by SharePoint. From here you can browse the folder structure, search across every document, filter and sort results, and — where AI features are switched on — ask questions about your documents in plain English. Document management must be enabled for your organisation; if you don't see Documents in the sidebar, contact support to turn it on for your firm. The page is staff-only — users with client-level access see their documents on their own client pages instead.

Browsing folders

  • The page header reads Documents with the description Browse through your document folders or search through your document collection.

  • While you're on the Documents page, the sidebar shows a Folders tree. Click Documents at the top of the tree for the root, expand folders with the arrows, and click a folder name to open it. Folders with nothing inside show No subfolders.

  • A breadcrumb above the content shows where you are (for example Documents / Clients / Smith Family). Click any segment to jump back up, or use the back arrow to go up one level. On smaller screens use the Browse button to open the folder tree.

  • The current folder is part of the page address, so you can bookmark a folder or paste the link to a colleague and they'll land in the same place.

Folder contents can be shown two ways — use the toggle next to the search bar:

  • Grid — tiles with a file-type icon, the file name, and the last modified date and person.

  • List — rows with columns Name, Type, Size, Modified By and Modified.

Your choice is remembered between visits. An empty folder shows Empty folder — This folder doesn't contain any documents or subfolders.

Opening a document

Click a document to open it in SharePoint in a new browser tab. Nagaris doesn't lock files — you're viewing and editing the SharePoint copy directly.

Searching

  1. Make sure the toggle at the left of the search bar is on Find.

  2. Type your terms. The placeholder tells you the scope: Search all documents... at the root, or Search documents in [folder]... when you're inside a folder — searches only cover the folder you're in (and its contents).

  3. Click Search.

Results show a summary line — Found 12 results for trust deed — along with the sort order and a count of any applied filters. Each result carries a relevance badge (High, Medium or Low); hover it for the underlying score. Documents where several passages matched show a sections badge — hover it to preview the best matching passage. In list view, results have Name, Type, Size, Relevance and Matches columns.

Clearing the search box returns you to browsing. If nothing matches you'll see No search results found with a suggestion to adjust your terms or browse the folders.

Filtering and sorting results

Click Filters next to the search bar (a badge shows how many filters are active):

  • Client Groups — limit results to documents belonging to particular client groups.

  • Date Range — filters by the document's modified date.

  • File Format — any of PDF, Word Document, Excel, PowerPoint, Text Files and Images.

  • Sort By — Relevance (default), Date (Newest First), Date (Oldest First), Name (A-Z) or Name (Z-A).

Click Apply Filters to run the search with your selections, or the reset option to clear them.

Asking questions (AI)

If Nagaris AI is enabled for your organisation, switch the toggle from Find to Ask and type a question — for example, scoped placeholders read Ask about documents... or Ask about documents in [folder].... Click Ask and the answer streams into a Document Insights card, including the reasoning behind it. From there:

  • Dive Deeper continues the conversation in the chat sidebar with full context.

  • Clear dismisses the response.

Asking from inside a folder scopes the question to that folder, just like searching.

Good to know

  • The Upload button on this page adds files to whichever folder you're viewing — see Uploading documents and file size limits.

  • Very recent uploads appear in folder browsing straight away but can take a little longer to be indexed for search.

  • If a search fails you'll see the error message on screen; try again, and check your filters aren't excluding everything (No documents found for your search criteria).
