Creating a client group and managing its status

How to create a new client group, choose its starting status, and change the status (including archiving) later.

A client group is the container for a family or business group, so creating one is usually the first step when you bring on new work. This article covers creating a group and how group statuses behave.

Creating a client group

You can start from several places:

  1. Go to Client Groups and click New Client Group, or

  2. Hover over Client Groups in the sidebar and click the plus button, then New Client Group, or

  3. Use the sidebar quick action button (Ctrl+N / Cmd+N) if New Client Group is your pinned quick action.

In the New Client Group dialog:

  1. Enter a Group Name (required) — for example Smith-Family. This is used to identify the group across the system.

  2. Optionally add Notes (Add any notes or instructions...).

  3. Choose a Status. For a brand-new group you can pick Onboarding (the default), Prospect or Active.

  4. Click Save.

You will see the toast Client Group created successfully and be taken straight to the new group's page. Nagaris assigns the group a short code (shown as a PID badge next to the group name) automatically.

Group statuses

Every group is in exactly one of five statuses:

  • Prospect — a potential client group you are quoting or pitching.

  • Onboarding — signed up and being set up.

  • Active — a live, ongoing client group.

  • Lost — a prospect or client you did not win or retain.

  • Archived — no longer worked on; hidden from lists by default.

Changing the status

The status appears as a coloured badge that doubles as a dropdown — on the Client Groups list, on the group's page header, and on group cards. Click it and pick the new status. Nagaris saves immediately and confirms with a toast such as Client Group status changed to Active.

Choosing Archived asks you to confirm first (Are you sure you want to archive this item …?) because archived groups disappear from the default list view. See the article on archiving vs deleting for what archiving does.

Note that the Edit Client Group dialog (from the group details card) only offers the Status field while the group is still a Prospect or Onboarding — once a group is Active or beyond, use the status dropdown instead.

Good to know

  • While a group is in Prospect or Onboarding, its page shows the Handover, Declaration and Final tabs inline; once it moves past onboarding these tabs collapse into an overflow menu at the end of the tab strip.

  • The group header shows an Action Required button (or N Actions Required) whenever the group has outstanding setup actions. Click it to expand the list; staff can clear multiple items at once with Mark all done.

  • Groups imported from Xero Practice Manager or MYOB show their origin in the list's Source column (Platform, XPM Import or MYOB Import) and an XPM icon indicating whether auto-sync is on.
