Finding, filtering and bulk-managing jobs

Use the Jobs list's search, filters, columns and bulk actions to find work fast, submit jobs to XPM and delete jobs safely.

The Jobs page lists every job in your organisation; each client group also has its own Jobs page scoped to that group. Both use the same table, filters and bulk actions.

Searching and filtering

Along the top of the list you'll find:

  • Search — Search jobs... matches job names.

  • Client — filter to one or more clients.

  • Staff — filter to jobs where particular staff are assigned.

  • XPM Status — shown only for XPM-connected firms; defaults to Submitted only so local pending jobs are hidden until you choose Show all (no filter) or tick extra statuses.

  • Job Status — the lifecycle filter (Active, Overdue, Awaiting signature, Draft, Complete, Rejected, No status).

  • State — your XPM job states.

  • Start Date — a date range filter.

On smaller screens some filters tuck behind a More button (Less collapses them again). When any filter is active, a reset button appears to clear everything back to defaults. Jobs are sorted newest-first by default; click the Job Name, Client, Start Date or Due Date headers to re-sort.

Choosing columns

Open the actions menu at the right of the filter bar to show or hide columns. The available columns are Job Name, XPM Status, State, Client, Manager, Fees / Budget, Actual / Estimated, Start Date, Due Date and Actions. Three are hidden by default — XPM Status, Fees / Budget and Actual / Estimated — and there's a reset-to-default option.

Two columns are small dashboards in their own right:

  • Fees / Budget — actual cost against budget with a progress bar; the figure turns red when over budget, and hovering shows the percentage of budget used.

  • Actual / Estimated — logged time against estimated time in hours and minutes, with the same red-when-over treatment.

Seeing a job's tasks without opening it

Click the chevron at the start of any row to expand it. The panel lists each task on the job with its name, status, hours spent and cost, or No tasks on this job yet. if the job has none.

Row actions

Each row's Actions column offers:

  • A ban icon (Cancel all future jobs in this series) — only on jobs generated by an active recurring schedule.

  • View in XPM — opens the job in Xero Practice Manager in a new tab (only when the job is linked to XPM).

  • Delete Job — deletes the job after confirmation. You'll see Job deleted successfully.

Bulk actions

Tick the checkboxes on one or more rows to open the bulk actions bar:

  • Submit to XPM (XPM-connected firms) — submits the selected jobs; you'll see Submitted N jobs to XPM and the table refreshes each job's XPM status automatically over the next half-minute as XPM responds.

  • Delete — opens a confirmation dialog listing every selected job by name. If any selected jobs are connected to XPM, the dialog offers an Also delete in XPM checkbox and tells you how many of the selection are connected. Leave it unticked to remove the jobs from Nagaris only.

Good to know

  • Can't find my job is almost always the XPM Status filter: newly created local jobs are Pending, and the default view shows Submitted only. Switch the filter to Show all (no filter).

  • Standalone and recurring jobs show under No status in the Job Status filter because they have no engagement lifecycle.

  • Deleting a job from the row action never touches XPM; only the bulk Delete dialog offers Also delete in XPM.
