Roles describe the jobs people do at your firm — Partner, Senior Accountant, Bookkeeper — and carry the base and billable rates used when pricing work. You create them on the Roles page and assign them to people in the Role column of the Team page. Roles are separate from permissions: they affect pricing and reporting, not what someone can access.
Open the Settings menu at the bottom of the sidebar and choose Roles. The table shows each role with:
Role Name — with an Inactive badge if the role has been switched off.
Description — longer descriptions truncate with a show more link.
Rate Type — Hourly or Fixed.
Base Rate and Billable Rate — the role's current default rates.
Members — how many people currently hold the role.
Services — how many services are mapped to the role's current rate period, with a count of custom-priced ones (e.g. 12 (3 custom)).
Firm admins (Administrator or Owner) see an Add Role button plus Edit Role and Delete Role buttons in the Actions column. Other staff can view the table but not change it.
Click Add Role.
Enter a Role Name (required) and an optional Description.
Choose the Rate Type:
Hourly — Per hour worked.
Fixed — Per job/task.
Complete at least one rate period (below) and click Save Role.
Rates change over time, so each role holds one or more Rate Periods rather than a single number. Each period has:
From Date (required) and To Date — leave the end date as Ongoing for the current period; the ongoing period is badged Current.
Base Rate and Billable Rate (both required) — the role's default dollars-per-hour (or per job for fixed roles).
Click Add Period to add a new period — Nagaris suggests a start date following the latest period and carries the previous rates over as a starting point. Periods can't overlap; if they do, saving is blocked with a message like Date overlap detected: … overlaps with …. Missing rates are flagged too (Period 1: Base rate is required).
This is how you handle annual rate rises: close off the old period with a To Date and add a new ongoing period from the changeover date, keeping historical work priced at historical rates.
Inside each period you can select which of your firm's services the role performs — Select services for this period. Custom rates override the default.
Tick a service to include it. Included services show Using period rates until you type a custom Base Rate or Billable Rate, after which they show Custom rates. A reset button returns a service to the period's default rates.
For Hourly roles there's also an Hours column — the hours this role typically needs to complete the service.
Select All and Clear All speed up long service lists.
Edit Role opens the same dialog with all periods loaded (most recent first) — click Update Role to save.
Delete Role asks for confirmation, then shows a message like the role was deleted successfully. Roles that are switched off instead appear with the Inactive badge and stop being offered when assigning roles on the Team page.
A member can hold several roles at once; one is marked primary and shows first in the Team page's Role column.
Role rates act as defaults by job function. A person's own Base Rate and Billable Rate on the Team page are set separately in the Staff Rates dialog.
If the page fails to load you'll see Failed to Load Roles with a retry option.
