Connecting Microsoft 365 for Nagaris Mail

How firm admins connect the organisation's Microsoft 365 tenant so mailboxes can sync into Nagaris Mail, and what each result message means.

Nagaris Mail connects to your firm's Microsoft 365 tenant with a single organisation-wide consent, then lets you choose which mailboxes sync. Only firm admins can connect or disconnect — the buttons are hidden for other members, and the server enforces it too.

Before you start: Nagaris Mail must be enabled for your organisation. If the Channels page has no Mail tab, contact support to turn it on for your firm.

Connecting

  1. Go to Settings in the sidebar and choose Channels.

  2. Open the Mail tab (shown next to Channels once the feature is enabled).

  3. In the Nagaris Mail card — marked with a Beta badge and described as Connect your organisation's Microsoft 365 to sync mailboxes into Nagaris Mail — click Connect Microsoft 365.

  4. You're sent to Microsoft to sign in as a Microsoft 365 admin and grant admin consent for your organisation's tenant.

  5. Microsoft returns you to Channels, Mail, where a status message tells you the result and you can immediately choose which mailboxes to sync.

The possible results are:

  • Microsoft 365 connected — choose which mailboxes to sync below. — success; mailbox discovery has run.

  • Microsoft 365 connected — mailbox discovery will finish shortly. — connected, but discovery is still finishing in the background. Check back in a minute and refresh the mailbox list.

  • Microsoft 365 connection was declined. — consent wasn't granted; nothing was connected. Try again.

  • Microsoft 365 connection failed. Please try again. — something went wrong; retry or contact support.

You can also start the flow from the Mail page itself: while no mailboxes are connected, admins see a Connect Microsoft 365 button in the Mailboxes section of the filter rail.

Checking the connection

The Nagaris Mail card always shows the current state — a Connected or Not connected badge next to Microsoft 365, and when connected, the date it was connected and who connected it.

Note that connecting alone doesn't sync anything: every discovered mailbox starts switched off. See Choosing which mailboxes sync into Nagaris Mail for the next step.

Disconnecting

An admin can click Disconnect on the Nagaris Mail card. The confirmation — Disconnect Microsoft 365? — spells out the effect: This stops syncing all mailboxes for this organisation. Already-synced email stays available, and reconnecting resumes syncing.

In other words, disconnecting:

  • stops syncing all mailboxes for the organisation;

  • keeps any email already synced into Nagaris available to browse and search; and

  • is reversible — reconnecting resumes syncing.

Troubleshooting

  • The Connect Microsoft 365 button doesn't appear: you're not a firm admin, or Nagaris Mail isn't enabled for the organisation.

  • Couldn't start the Microsoft 365 connection. — a temporary error creating the consent link; try again.

  • Consent requires a Microsoft 365 administrator account for your tenant. If your IT provider manages Microsoft 365, they may need to complete step 4.

  • Connected but the mailbox list is empty? Discovery may still be running (connected — mailbox discovery will finish shortly) — use the refresh control on the Mailboxes card after a minute.
