Tracking a sent engagement: reminders, link expiry and PDFs

Following a proposal after you send it — opens and signatures, manual and automatic reminders, extending the link expiry, and downloading the PDF.

After you send an engagement you can track exactly where it's up to, nudge the client, keep the proposal link alive, and download the signed document. Most of this happens on the engagement's detail page.

The proposal strip

Open the engagement from the Engagements list. The strip at the top of the detail page shows the proposal's history at a glance:

  • Proposal sent with the date, and while it's pending, how many days remain to expiry.

  • Opened by a recipient, with the date and time, once someone opens the email.

  • Accepted or Rejected with the response date, or an Expired badge if the link has lapsed.

While the proposal is unsigned, an amber banner reads Awaiting signature — [name] hasn't signed yet, with Extend link → and Send reminder → shortcuts.

The strip's icon actions include previewing or viewing the proposal, opening timesheets, Edit engagement & send proposal (until it's accepted), Duplicate engagement, Extend proposal link expiry, Copy proposal link (while pending) and Download PDF (once accepted).

Below the strip, the detail page organises everything into tabs: Services & Pricing, Jobs & Budgets, Payment Packages, Payment Methods, Payment Schedule, Invoices and Recipients & Activity.

Reminders

There are two kinds of reminders:

  • Automatic follow-ups — configured before sending (Send follow-up reminders, with a count and days between). Nagaris sends these on schedule while the client hasn't responded.

  • Manual reminders — click Send reminder → on the detail page, or the Send Reminder envelope on the engagement's row in the list. You can review and edit the email before it goes.

If the proposal link has expired, the reminder link is disabled with the hint Extend the proposal link before sending a reminder — extend first, then remind.

Extending the proposal link

Proposal links expire for security. To give the client more time:

  1. Click Extend proposal link expiry (or Extend link → in the awaiting-signature banner).

  2. The Extend proposal link dialog shows the current expiry and the new expiry side by side. As it notes, the same link will keep working — no need to resend unless you want to.

  3. Pick a preset (7 days, 14 days, 30 days, 60 days) or enter a Custom number of days (up to 365).

  4. Click Extend by N days.

The extension is added from today if the link has already expired, otherwise from the current expiry date. If a client reports Proposal Expired when opening their link, this is the fix.

Copying the link

While the proposal is pending you can click Copy proposal link and paste the client's link into any channel — the same personalised link from their email.

Downloading the PDF

Once an engagement is accepted, download the signed proposal as a PDF:

  • From the Engagements list — the Download PDF action on accepted rows, or

  • From the detail page's proposal strip — the Download PDF icon.

The file is named after the engagement. Clients can also view and download the PDF from their own proposal link after acceptance.

Good to know

  • Editing a sent-but-unsigned engagement is allowed: open it with Edit engagement & send proposal, make your changes and send again. The send form pre-fills the previous recipients.

  • Email opens are tracked per recipient — the Recipients & Activity tab shows the full history.
