Entering staff rates and showing your team on engagements

Setting base and billable rates for team members, allocating staff to engagement jobs, and displaying the team with rates on the client proposal.

Nagaris can show your client exactly who will work on their engagement — including hourly billable rates — directly on the proposal. Three things make this work: staff rates on the Team page, staff allocated to the engagement's jobs, and the engagement's Show team setting.

Entering staff rates

Only firm admins can enter or edit rates.

  1. Open the Settings menu at the bottom of the sidebar and choose Team.

  2. In the members table, each person has a Base Rate and a Billable Rate column (shown per hour). Admins can click a rate (or Set where none exists) to open the Staff Rates dialog; other users see the rates read-only.

  3. In the dialog, click to add a rate and complete the Add New Rate form: Start Date, an optional End Date, Base Rate and Billable Rate.

  4. Save. The current rate (the one with no end date) is used everywhere rates are shown; older rates remain as history and can be edited or deleted.

The billable rate is what clients see on proposals; the base rate is your internal cost rate.

Allocating the team on an engagement

Staff are attached to an engagement through its jobs:

  1. In the proposal builder, open the Jobs tab.

  2. On a job card, click More to reveal the extra fields.

  3. Set the Partner and Manager, and use the Team picker to tick the other staff working on the job. The button shows how many members are selected.

Showing the team to the client

  1. In the proposal builder, click Settings.

  2. Under Display Options, turn on Show team (Display allocated team members on the engagement).

With the toggle on, the client's proposal includes a Your Team section, grouped under Partner, Manager and Staff. Each member appears with their name, job title and hourly billable rate, labelled ex GST. Members without a billable rate show a dash instead of a rate, so nothing misleading is displayed.

With the toggle off, the section is hidden entirely.

Good to know

  • Rates come from the member's current billable rate at the time — keep rates up to date before sending engagements that display the team.

  • Job titles shown to the client come from the member's profile on the Team page.

  • For XPM-connected firms, the Partner/Manager/Team pickers list your XPM staff; a staff member must be linked to a Nagaris member for their rate and job title to appear.

  • If no staff are assigned to any job, the team section is simply not shown to the client, even when Show team is on.
