Using job name templates

Job name templates let your firm save reusable job name patterns so staff can apply them with one click instead of typing from scratch. Templates support placeholder tokens that resolve to real values (client name, month, year) at the time they are applied.

Managing templates (admins)

Go to Settings > Job Names in the sidebar.

Create a template

  1. Click Create template.

  2. Enter a Template name - this is how staff will identify it in the picker (e.g. "Monthly BAS").

  3. Enter a Job name pattern - the text that will be inserted. Use the token buttons below the field to insert placeholders.

  4. Watch the live preview below the pattern field to confirm the output looks right.

  5. Click Create.

Template names must be unique within your organisation.

Edit or delete a template

From the Settings > Job Names table, open the row menu (three dots) and choose Edit or Delete. Deleting a template does not affect any jobs that were already named using it.

Applying a template when naming a job

Wherever you see the Job Name field (adding a job to an engagement, editing a job, or creating a standalone job), there is a wand icon on the right side of the field.

  1. Select your client first so the template can resolve {{client}} correctly.

  2. Click the wand icon to open the template picker.

  3. Search or scroll to find the template you want.

  4. Click the template to apply it - the job name field is filled automatically.

If you change the client after applying a template, the job name updates to reflect the new client name. If you have manually edited the job name field after applying a template, that manual edit is preserved and the name will not update automatically.

Tips

  • Templates are a starting point - you can still edit the job name field after applying one.

  • The pattern is stored as plain text with tokens; the resolved value is what gets saved to the job.

  • If your firm has no templates yet, the wand icon will show an empty list with a prompt to contact an admin.
